Privacy Policy

Last updated: 4 November 2026

This Privacy Policy explains how TalkNavAI (“TalkNavAI”, “we”, “us”) collects, uses, shares, and protects your personal data when you use our website, web app, and desktop app (together, the “Service”). TalkNavAI is a real-time conversation assistant that transcribes live audio and generates AI-powered response suggestions. Because the Service processes meeting audio and transcripts, please read the “Meeting audio, transcripts & AI processing” and “Recording & consent” sections carefully.

1. Who we are

The Service is operated by TalkNavAI, a company registered in Dubai, United Arab Emirates, which is the controller of your personal data. You can contact us about privacy at privacy@talknavai.com.

2. The short version

  • We collect your account details, the context you add to your Library and AI settings, usage and billing data, and — when you run a session — meeting audio and the resulting transcript.
  • Meeting audio is streamed to a speech-to-text provider to produce a transcript. The transcript and your selected context are sent to an AI provider to generate suggestions, in real time.
  • Your transcripts, suggestions, and summaries are saved to your Meeting History so you can review them later. You can delete any meeting at any time.
  • We do not sell or share your personal data for advertising, and we do not use your meeting content to train AI models.
  • You can access, correct, export, or delete your data, including your whole account.

3. Information we collect

Information you provide

  • Account information. When you sign up with Google or LinkedIn, we receive your name, email address, and profile picture from that provider.
  • Library and AI settings. Notes, Q&A, the text of files you upload, screenshots you choose to describe, and the instructions and profiles you set to tailor suggestions. You control what you add — please avoid adding more sensitive personal data than you need.
  • Support communications. Messages you send us.

Information created when you use the Service

  • Meeting audio. When you start a session, audio from your microphone and/or your computer’s audio (or a shared browser tab) is captured on your device and streamed to our servers and our speech-to-text provider.
  • Transcripts and AI interactions. The transcript, the questions you ask, and the AI suggestions generated for your session.
  • Meeting History. Each session’s transcript, suggestions, and an AI-generated title and summary are stored in your account until you delete them or your account.
  • Usage data. Minutes used, plan, feature usage, and session timestamps, used to enforce allowances, prevent abuse, and operate the Service.
  • Billing data. Your plan, subscription status, and payment events. Payments are processed by Stripe; we never receive or store your full card number.
  • Technical and log data. IP address, device and browser type, app version, and diagnostic logs needed for security, debugging, and abuse prevention.

Cookies and local storage

We use strictly necessary cookies and local storage to keep you signed in, secure your session, and remember your app preferences (such as theme and layout). We do not currently use advertising or analytics cookies. If we add them, we will update this policy and, where the law requires, ask for your consent first.

4. How we use your data

  • To provide the Service — transcribe audio, generate real-time suggestions, and keep your Meeting History.
  • To create, secure, and manage your account and authenticate you.
  • To process payments, manage subscriptions, and enforce usage allowances.
  • To provide support and respond to your requests.
  • To maintain, debug, secure, and improve the Service and prevent fraud or abuse. We use aggregated usage data and feedback you give on suggestions for this, not the content of your meetings.
  • To send you service messages (for example about billing or important changes).
  • To comply with legal obligations and enforce our Terms of Service.

5. Legal bases

We process personal data in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, where they apply to you, the EU and UK General Data Protection Regulations. We rely on:

  • Performance of a contract — to deliver the Service you sign up for.
  • Consent — for optional information you choose to add (such as Library content) and optional features. You can withdraw consent at any time.
  • Legitimate interests — to secure, debug, and improve the Service and prevent abuse, balanced against your rights.
  • Legal obligation — to meet accounting, tax, and other legal requirements.

6. Meeting audio, transcripts & AI processing

To generate suggestions, your meeting audio, transcript, and the context you select are sent to the transcription and AI providers listed on our Sub-processors page. They process this data only to return a transcript or a suggestion to us.

Audio is processed in real time and is not stored by us after it has been transcribed. We do not use your audio, transcripts, Library content, or AI interactions to train AI models. We use our providers’ paid API services, whose standard terms do not permit them to use API content to train their general models; their handling of data is governed by their own terms.

7. Recording & consent — your responsibility

Laws on recording and transcribing conversations vary by country and state, and some require the consent of all participants. You are responsible for knowing and following the laws that apply to you, and for getting any consent required before using TalkNavAI in a meeting, call, or interview. See our Acceptable Use Policy.

8. Who we share data with

We do not sell your personal data. We share it only with service providers (“sub-processors”) that help us run the Service, and only as needed for that purpose. The current list, with what each one receives and where it is located, is on our Sub-processors page.

We may also disclose data where required by law or a valid legal request, to enforce our Terms, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of assets (with notice to you where required).

9. International data transfers

We are based in the UAE, our database is hosted in the European Union, and some providers process data in the United States and other countries. When personal data moves between countries, we rely on appropriate safeguards such as the EU Standard Contractual Clauses (and the UK Addendum), adequacy decisions, or the transfer grounds permitted by UAE law.

10. How long we keep data

  • Account, settings & Library: while your account is active. Deleted within 30 days after you delete your account, except where we must keep data by law.
  • Meeting audio: processed in real time and not retained after transcription.
  • Meeting History: until you delete the meeting or your account.
  • Billing records: as long as tax and accounting law requires.
  • Logs: a limited period for security and debugging, then deleted.

11. Security

We use industry-standard measures including encryption in transit (HTTPS/WSS), encryption at rest by our hosting providers, access controls, and row-level database security. No system is completely secure, but we work to protect your data, and we will notify you and the relevant authority of a personal data breach where the law requires.

12. Your rights

Depending on where you live, you may have the right to:

  • access a copy of your personal data;
  • correct inaccurate data;
  • delete your data, including your account (“right to erasure”);
  • receive your data in a portable format;
  • object to or restrict certain processing; and
  • withdraw consent where we rely on consent.

You can edit your settings and Library, and delete individual meetings, in the app. To delete your account, export your data, or make any other request, email support@talknavai.com (or privacy@talknavai.com) from your account email address. We respond within 30 days. If you are in the EU or UK, you also have the right to complain to your local data protection authority.

California residents: you have the right to know what personal information we collect, to delete it, to correct it, and not to be discriminated against for using these rights. We do not sell or “share” personal information as those terms are defined in the CCPA/CPRA.

13. Children

TalkNavAI is not intended for anyone under 18, and we do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.

14. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date above and, for material changes, give additional notice (for example by email or in the app).
